Chairman AGM Report

The year 2021/22 was a particularly trying time for the Club given the ongoing albeit reducing threat of COVID and the effect it has had on all of us, added to which uncertainly in world affairs has made normal club life difficult. This uncertainty has reduced this year and it is great to see the programme of teams, coaching, social and gym activities back.

Your club is reliant on members volunteering to make it work, whether that be in the sports and social committees or on the Board as a Director. We have been fortunate in having a dedicated and energetic board. As always there will be change this coming year with some retiring and new younger members joining. My thanks to Richard Walker who has been a longstanding board member as well as past Chairman also welcoming Annabel Goodby who is joining the board as Tennis Chair. This along with other changes reduces the average age of the Board and shows that younger members do want to participate and make the club a better place to come to. We hope more members will volunteer to make the club a success for all current and potential members.

The board took some difficult decisions in early 2020 to reshape the staffing structure at the club, by 2021 we saw a slow return in member numbers which currently stands at 1115. We are still a member focussed club and with the Club Management team headed by Luke Stone we can ensure the aims of the Board and the running of the club are best delivered.

From a financial perspective, COVID was an extraordinarily challenging time, with a host of changing demands from the government, council, sporting bodies, and health and safety advisers.

To recognise the challenge of the last two years and the club returned a proportion of subscriptions across 21/22 and 22/23, these will finish this coming year.

Taking part in sport is obviously the reason this club exists, tennis, squash, racketball and gym have almost returned to normal.

Tennis is still the largest part of the club membership and continues to grow, Head Coach Kirk Woodall is producing excellent programmes for beginners to seniors with juniors a major target, his efforts alongside all the existing and new coaches is extremely successful. We have also refreshed the playing surface on courts 2,3 & 4.

Indoors, we are also committed to increasing junior player numbers, ensuring an emphasis on encouraging teams for both Squash and Racketball and also continuing want league and friendly games. Courts, 1,2,3, 5 & 6 have had a refresh during the year to ensure our playing environment remains high quality.

Gym membership has risen, we have invested in more equipment, and continued outdoor fitness, giving members superb choice of how they use club facilities. It is also important to note that we have a healthy number of social members.

The current Board is beginning to plan for 22/23 and beyond, and we are more optimistic going forward.

We are going to explore the possibilities of using the land to the rear of the club. Previous Boards have considered such a proposal before but the current Board have committed to explore the issue in detail over the coming year as it believes it should be possible to have to secure an income for the club, potentially working with other local organisations to do so.

To finish, I would like to give you a flavour of our priorities over the next year. These are to i) ensure all of our staff enjoy working here and provide excellent membership experience, ii) work on a (final) repair solution for indoor court 4, and iii) continue to explore ways to engage families and the younger players to ensure the club has a vibrant future. We will of course ensure the facilities and finances are in good health.

Treasurer AGM Report

21/22 Accounts

The total income for the year was £523984 and the club made a profit of £48360 for the year. During the year, to ensure the club could operate for its members, pay its bills and manage any potential period of closure, a very risk averse approach was taken with significant spending decisions. With the gradual reduction of this risk of closure, the board agreed a series of maintenance and improvement work across quarter 4 and continuing into 22/23.

At year end, the club had net assets of £1.47m with loans to the value of £226687. The Cash in the Bank value at year end was £326817 (which included a significant number of membership renewals for 22/23).

Accounting approach

SLTSC has outsourced its accounting since September 2020. Subsequently our financial reporting has changed. The 21.22 accounts reflect the structure of the financial information supplied by ARAS and this information is shared with the Board monthly. Our current banking relationship is with Lloyds and we meet with them regularly to ensure good communication. Along with the P&L and balance sheet information, we base many of our financial decisions on the monthly cash in bank value and use this to plan for the remainder of the financial year. This is In line with recommendations by Sport England for small sports clubs. These approaches give the Board (and thus the members) assurance that members money is being handled appropriately.

Current financial picture (Nov 22 financial report)

During this year our income has been reduced by process of returning 2 months subscriptions to members from the COVID lockdown period.

During this year, sporting activity has returned and with full coaching, teams and social programmes. In January 2022 the Board agreed a maintenance and repair programme of £90k across 19 individual areas, progress and squash court 4 and tennis court 1. Of this programme tennis court 1, and squash court 4 remain the most significant works remaining. Further improvement work will be planned for 23/24.

Profit remains variable with the club making £2k profit in September. Staff costs are currently in a state of flux given the changes. Currently the club has fixed assets of £1.53m, a Cash in Bank value of £305k, and two loans totalling £210k. Our current planning suggests we should reach year end, including currently known risks and costs, in reasonable financial health.

Financial risks

Legacy leaks onto courts 3 and 4 – we have updated court 3 however the leaks above court 4 remain despite significant work.
Inflation - price rises have been well documented, and the club is currently within a fixed rate deal with its utility provider so should be protected from this currently. The club manager and treasurer are working together to assess any future impact of broader inflationary pressures.

Tennis AGM Report.

I’m pleased to report that after two years of disruption we have finally managed to have a normal full year of tennis. The tennis membership is healthy with a growing number of men and ladies wanting to join teams, lots of new members and a thriving junior section.

Coaching

We now have 2 full time and 3 part time coaches. They are all fulfilling useful roles and well supported by the Club Manager and Tennis Committee

Teams

Andy Eaton and Jo Skym have done an excellent job of running the teams over the last 12 months. The ladies have managed to field up to seven teams and the men six with varying degrees of success but all matches have been played with enthusiasm, competitively and enjoyed by most players. It is also pleasing to see an increasing number of juniors keen to play team tennis.

We have fielded 3 mixed teams in the summer and for the first time 3 for the winter. The teams are slowly finding their right level in the league but this winter looks tough for some!!

Juniors

All junior coaching is now on a Friday night with numbers growing week on week, now over 100 every week, and very good attendance at the popular holiday clubs. The squads have now returned run by popular new coach, George Southall.

Indoor Sports

It has been great to see so many Gym, Squash and Racketball players on to the tennis courts. Please keep playing and I hope you have all enjoyed this outdoor sport and your very popular gym classes. For the eagle eyed you will have spotted Racketball/Squash players in the tennis finals this year !!

Mix In

This is once again proving successful and popular. We are welcoming many new members to mix in which has now expanded to Tues morning and evening, Thurs and Sunday. We have a well used whatsapp group to encourage attendance with nearly 60 members in the group. My thanks to Dora Harcourt for enthusiastically running mix in for us.

Tournaments

In September we ran our annual Club Tournament and Ladies Open. The club tournament was excellent with some very good matches Our thanks to Alison Davis for organising and running the tournament so smoothly and also to EWS for their kind sponsorship.

The ladies open welcomed nearly 30 players for other clubs and was excellently organised by Helen Walker for the 7th, and final, year running.

Both Dora Harcourt and Annabel Goodby have run some fun mixed and not so mixed tournaments that have proved extremely popular

Leagues

My thanks to Dave Stokes, Hilary Boszko and Mike Sykes for continuing to run the popular singles and doubles leagues.

Committee Changes

I would like to thank the Tennis Committee for all their support over many years and in particular Lindsay Boardman, Rob Moreton and John Warren who are all standing down along with myself.

We welcome Annabel Goodby as new tennis chair and I’m sure she will be well supported by the new tennis committee and members.

Racketball AGM Report

This is my first full year’s annual report since taking over the Racketball Chair from Heidi Munday; rising to the standards set by my predecessor is a challenge and I cannot let her escape without a rousing chorus of huge thank you’s to Heidi for the tireless work she contributed to the successful running of the racketball section and the club as a whole. The one event that stands out in my memory (and probably yours too if you were there) was the Three Rackets Tournament that Heidi organised way back when. I’ve been asked many times if it will be run again and I guess that now the club has settled back into its routine, 2023 is going the have to be the year!! But thank you Heidi, you will be sorely missed. Good luck in all your endeavours now that you have your life back to yourself.

Racketball Leagues

All four racketball leagues are now back up and running. Thanks to Hugh and Graham (and me) for running these leagues. It’s probably fair to say that in terms of numbers they are not quite back where they were pre-covid so please to join in and enjoy the vibrancy of competitive friendly matches!

In summary:

Evening and weekend singles, around 50 players in 10 divisions, including the recently introduced Premier Division.

Daytime singles, around 35 players in 6 divisions.

Daytime doubles, around 16 pairs in 4 divisions.

Evening and weekend doubles, around 21 pairs in 3 divisions.

If there is one request I would like make it is that once entered into the league, please make every effort to play your matches!! Graham and Hugh contribute time to running the leagues and they do like to think it is time well spent for your benefit.

Tournaments

We ran three tournaments this year, see results etc below. Interestingly the demand from daytime players for tournaments to be held during the day seems to have almost vanished, with very few people entering those we have attempted to run but to no avail. Should this not be the case, please let the committee know and we can resurrect those that are most popular. Oh yes, and maybe someone to help run them would be helpful too!

Team Racketball

Unfortunately, the club was unable to enter a team in the Warwickshire League this year gone (Worcestershire has insufficient interest in racketball to run an interclub league and the ‘west midlands league’ no longer exists)

However, we have made doubly sure that we have a team competing this coming year and Jason Edwards has stepped forward to pick up the captains’ badge. A team has been registered and early matches already in the bag. Keep an eye on the notice board for fixtures and results and don’t forget to come to the club to support the team for home matches.

Social

The racketball committee has traditionally had an active social member but since the formation of a club wide social team much of that role has been taken club wide. That is not to say that the social aspects of our sport should be neglected and there is an effort being made to resurrect the Saturday night mix in social and other activities in the forthcoming year. Stourport Tennis and Squash have also approached us asking if the club would like to get involved in a series of ‘team friendlies’ that they have been running with other Worcestershire based clubs. Watch the notice board for further details.

Juniors and Coaching

The new development coach, ably assisted by a small number of keen club members, has been running indoor rackets coaching on Wednesday and Friday.

Court Maintenance

Well, what to say?? One can see for oneself that court 3 has been completely refurbished now that it is weather proofed while court 4 still refuses all attempts to resolve. Additional work has been identified and is to be carried out shortly to seek to contain and stop the leak. We will be targeted refurbishment of the court early in the new year. Meanwhile, courts 1, 2, 5 and 6 have been cleaned and serviced with faulty lights replaced. Motion sensor lights have also been installed as a benefit to members (no longer have to worry about where did I put the key) and as an efficiency measure to reduce electricity usage.

Committee

There have been some changes to the committee membership this year. Mike Hart has stood down after many years of committee membership and organising daytime tournaments. I’d like to thank Mike for his contribution to the racketball section. Miss Tournament herself, Kath Rance, has also decided to step back from organising club tournaments. Kath has been tournaments personified for far too many years and we owe her a great debt of thanks. Kath has decided to remain with the team as a member without portfolio and for that I am grateful. Another member has stepped in to help with tournaments for the coming year; a full time committee member to do this job would be just great. And finally thanks to Peter Mumby, who has also stood down, for his contribution to the committee; I’m pleased I still see him in the bar from time to time so I can probe that vast knowledge bank in his brain too help us keep going forward.

Squash AGM Report

Following the restart after the multiple waves of Covid, we have had an exciting year with the squash discipline of the club, including both Worcestershire winter teams performing well, with the first team headed up by Ian Hughes. A Warwickshire summer team was created through the enthusiasm of some first team players and they performed excellently finishing third, as was the Staffordshire summer team, previously the central league, who finished top. Support has Continued into the current winter season with a Warwickshire team headed up by Stuart Lord and Jack Dukes and two Worcestershire teams, headed up by Pete Bailey and Andy Sinton. The teams enjoy a strong roster of players which should continue to be encouraged for both new members to join and for current players to improve their game and advance through the teams, especially those of fewer years.

The current ongoing situation with court 4 is very disappointing, only in last year's annual report did I mention that we would be expecting a timely conclusion to the water ingress, however we are making slow progress to hopefully narrow it down to reach a permanent fix rather than temporary.

A few competitions have been run through the year both internally co-ordinated by Jack Dukes and externally by Worcestershire squash we are currently reviewing the possibility of another PSA sanctioned event next year.

Our annual Nigel Cartwright competition in which Stuart Lord won the main event, Andy Speake the o35 & o45, Evie took the women’s main event, men’s plate was won by Ian Bradley and finally the o55 was won by Nick Carter.

The annual club handicap was run in May, again Andy Speake coming through to win.

The PSL team finals between Pontefract and Crawley were held at the club in June where some amazing squash was seen. That was potentially a great plus for the club to host this.

The club has hosted the annual Worcestershire County closed in January in the which the B plate was won by our own Richard Banno, the junior open in September and has junior county training taking place this weekend (22th October 2022).

We advertised and ran a taster session for a group of Girlguides early on in the year which was very positive on the day with great support from the committee members and helpers/coaches, but disappointing take up after the event. Focus more recently has been on getting a single schools sports contact which we now have. Links have been made with Invictus Acadamy Trust Schools and a series of meetings have taken place at the club, I would expect this to work well for the club with a conversion of some of these juniors into members.

Club open day, which was previously planned to coincide with the commonwealth games, was held in September. Mark Biddle managed the squash during this event with Charlotte Silwood supporting along with some support from our players, demonstrating how to play the game to the general public and some youngsters “had a go” on court with Charlotte. There was a positive result with some families taking up membership.

Restructuring of the internal leagues by James Newhill took place to entice more participation. The committee continue to monitor the number of games being played in each league period.

Junior participation within the clubs coaching programme is increasing, this in itself is putting additional pressure on the voluntary coaching team. Charlotte, Nick, Phil, Ali and Tracey offer support which is very much appreciated by both the squash committee and the wider club structure. Congratulations to Charlotte who gained her level 2 coaching award at the end of July this year and is looking to move onto level 3 next year, studies permitting.

Squash stars initiative run by ES for 5-11 year olds is not proving very successful for our club. However, we have had some limited take up. Nick carter is driving this hard and spending a lot of time pushing it, which again is very much appreciated.

Last year's annual exhibition match organised by John Bartlett didn’t go ahead due to the uncertainty of covid restrictions at the time and the possibility of cancelation, however this year’s is all set for the 4th November after much hard work and effort by John.

Rams on tour, Ramy recently took us to Gibraltar to play a return team match. 12 players went from the club plus 4 supporters, we arrived on a Friday and left on a Tuesday we were narrowly defeated by only 10 points, the team spirit and bonding cohesively over the whole tour was fantastic to see, our hosts couldn’t have done anymore to make it so enjoyable for us either. I have already had members that never went asking if we are doing it again as they are interested. A special thanks to John Bartlett who, on the day of the tournament, scored the entire programme on the court 2.

Throughout this annual summary hopefully you will see that the squash is moving forwards; in some cases against the tide but still forwards, there is a fair way to go still but with this enthusiastic committee and unprecedented constant support, help and guidance from Nick Carter, John Bartlett, Ian Hughes, Luke and team not forgetting all the people previously mentioned in this report I'm sure we will get there.

Gym AGM Report

I would like to thank all the members who have continued to support the Club throughout the last 12 months, whilst we have been pandemic and lock down free this year it has been a financial challenging period of time.

With prudent financial planning from the Board the Club has managed to upgrade some pieces of equipment in the Gym and further upgrades are in the pipeline for the near future. The equipment is serviced annually and is routinely monitored for wear and tear but if you do notice anything that requires any attention, please make a note with the office who will contact the engineers to get repairs completed.

We have the PT’s delivering the Gym sessions both indoor and out. A big thanks once again to Jon, Jane and Michelle, these sessions are always fun so please feel free to book in and come along, according to your membership category. Booking is available via ‘mycourts’ online, via the Club App and also via the screen in reception.

Jon Hope and Karen Adams are available for personalised exercise sessions. If you want a programme tailored for you contact them directly, their contact details are on reception or available on the website and app.

I would also like to thank the Gym committee, a group of 8 who have given their spare time to meet periodically to discuss equipment upgrades and all other Gym related matters that need attention. The minutes of the meetings are printed out and put up on the Gym notice board if you want to know what we have been doing on the members’ behalf, and if you wish to get involved please make yourself known to the office.

On a final note, if you have any queries, problems or marketing ideas please let me or any of the Board members know. However, if you are enjoying the facilities in the Gym and at the Club, let your friends know and see if they would like to join.

Minutes of the 55th Annual General Meeting, held at the Clubhouse, Sugar Loaf Lane, Iverley, Stourbridge, West Midlands, DY6 6PS on Thursday 9th December 2021

Resolution No. 1

The Chairman sought confirmation of the Minutes of the AGM held on Thursday, 15th October 2020 and the Minutes of the General Meeting held on Thursday 25th February 2021.

Resolution No. 1 was proposed, seconded and carried.

Both sets of Minutes were signed by Aubrey Grosvenor, Club Chairman.

2020/2021 Accounts

The Chairman called on the Treasurer, Richard Cattell, to present the accounts for the year ending 31st March, 2021.

The total income for the year was £281,741.00 and the Club made a loss of £10,899.00 for the year, which included a Government backed bounce-back loan of £50,000.00 and approximately £44,100.00 of Grants from various sources (national, local government and sports bodies). Capital expenditure was limited due to the fluctuating financial picture for the year and the reduced use of the Club's facilities. The most significant expenditure was the repair of the roof above courts 3 and 4, which was covered by insurance. The Club had net assets of £1.42m, with loans to the value of £255,169.00. Cash in the Bank value at the

year end was £378,330.00 (which included a significant number of membership renewals for 2021/22.

Current financial picture (October 2021 financial report)

Given the extraordinary period leading up to this current financial year, the monthly financial picture remains somewhat unsettled. For the early part of the year, we had higher running costs of the bar and, over the year, are coping with the 3 month return of fees to Members and the £50 bar credit. Profit remains variable month by month and year to-date we have made £11,950.00 profit. Staff costs are currently in a state of flux given the changes. Currently the Club has fixed assets of £1.56m, a Cash in Bank value of £342,019.00 and two loans totalling £240,380.00. Our current planning suggests we should reach year end, including currently known risks and costs, in reasonable financial health. The financial year 2022/2023 sees the return to Members of the final 2 months of membership due to the lockdowns in 2020/2021. We will need to return to previous funding of maintenance and upkeep of facilities now usage is back to near normal.

Membership

The club had 976 members going in to COVID lockdown in March 2020, this reduced to 845 by August 2020 and currently stands at 1045. This continue support by members has certainly helped see the club through the challenge of numerous lockdowns.

Financial risks

(a) Future lockdowns relating to COVID – the risk of another lockdown related to COVID seems lower now than in the early part of 2021. There does, however, remain a possibility that the Club may close to sports. Therefore, the Board have chosen to limit capital expenditure during 2021;

(b) Legacy leaks onto courts 3 and 4 - this long-term issue is the focus of intensive work. The Club has received an initial report into the leaks and is working with further experts and building contractors to resolve this important issue;

(c) Capital expenditure to maintain courts - it is key to the Club to have well maintained facilities and the Club will work with the Sports Committee Chairs to restart the maintenance programme as soon as is possible

(d) Utility prices - price rises have been well documented and the Club is currently within a fixed rate deal with its utility provider so should be protected from this currently.

Re-election and election of officers for the forthcoming year was presented by the Chairman and stated that the nominees were all elected unopposed, i.e. Secretary and Treasurer. All Sports Committee Chairs having been appointed at their relevant AGMs

Returning Chair

The Chairman asked the returning Club Chairman, Aubrey Grosvenor, to address the meeting.

Aubrey thanked the attendees to the AGM and hoped that they were happy with how the Club is fairing during very unsettled times. Aubrey explained that the Board is made of Members working unpaid for the benefit of all Members.

Aubrey thanked retiring Past Chairman, Robert Moreton, who has been a great asset for the Club during the time of his chairmanship and past chairmanship. Aubrey then welcomed Stuart Davis as a co-opted Director to the Board.

Aubrey also thanked Lucy Martin for her time as Vice Chair and explained that as Lucy had been unable to see her term through, Aubrey welcomed the in-coming Vice Chairman, Steve Hunter, to the Board.

Aubrey also welcomed Ian Binks to the Board, heading up Racketball, replaced Heidi Munday, who would be missed by the Board. Aubrey went on to thank Heidi for her time on the Board, but also organising ClubFest, which was a great success.

Aubrey also welcomed Stuart Davis to the Board.

Aubrey explained that during the year the Board had tried to promote Stourbridge Lawn Tennis and Squash Club as the best possible sporting and social facility for tennis, squash, racketball and gym members. The current membership was around the 1050 mark, which is a healthy number of members, but there was still more to do.

Aubrey stated that the Board have continued to modernise the way the Club is run. Some changes have been difficult, including some well-know people leaving the Club. Member numbers and feedback had indicated we are hading in the right direction.

Aubrey closed by explaining that the Board were available whenever required and that they are constantly looking to improve the membership experience and welcome any input from Members with their ideas on how they feel we can improve.

The President and Chairman of the meeting, Sue Bartlett, declared the meeting open.

Resolution No. 1 and No. 2

The Chairman called upon the Treasurer, Richard Cattell, to present the proposed subscription charges for 2022/23, together with a brief explanation of the proposed budget for the year ending 31st March 2023 (the two being co-dependent).
